Follow the Waiting
Select a recent project or request and record every period when no progress was made. Ask what the work was waiting for and whether the next person knew it was ready for them.
Patterns emerge quickly. Several delays may trace back to the same missing brief, unclear approval rule, or weekly meeting where decisions are held until everyone can attend.
Fix the Handoff
A strong handoff includes the work, the context, the owner, and the expected next action. If any of these are missing, the recipient must reconstruct the situation before contributing value.
Use a shared template or automated notification to package the essentials. The goal is not more documentation; it is enough structure for the next person to begin without chasing answers.
Review the System Regularly
Processes change as teams, customers, and tools change. Schedule a short review around real exceptions: what stalled, what was reworked, and which rule no longer matched the way the business operates.
A better system is not one that never changes. It is one that makes friction visible early and gives the team a simple way to improve the path of work.
